  • Personal data collected and processed via www.cogxfestival.com​ or on partner sites contracted by CogX Ltd. to deliver CogX services (hereafter the “CogX Platform”) are collected and processed by CogX Limited, a company registered in England whose registered office is International House 36-38 Cornhill, London EC3V 3NG and with company number: 09804338 (“CogX”, “we”, “us” or “our”) which is the “controller” of your personal data for the purposes of this Privacy Policy under the General Data Protection Regulation and UK Data Protection Act 2018. This Privacy Policy explains what we do with personal data that you provide to us in relation to the provision of the CogX Platform.

  • We collect and process personal data that you provide in relation to your registration for the CogX Platform. This includes your name, job title and type of job, email address, phone number, address, topics you are interested in, details of your organisation, details of how you heard about the CogX Platform and other personal data.

    We also process personal data regarding your activities and interactions on the CogX Platform, including, but not limited to, sessions that you book into or attend, questions you ask, polls you take part in, pages you visit, products and companies that you express interest in, other users and partners you interact with and meet with, and meetings that you request.

  • CogX may use your personal data:

    • To manage your membership on the CogX Platform

    • To provide access to the CogX Platform

    • To deliver services on the CogX Platform, including virtual events, networking, social interaction, recommendation of content, and other services

    • To provide management of invitations by our partners

    • To communicate to you any useful information regarding future events, services, and opportunities with relation to the CogX Platform

    • To email you regarding abandoned checkout processes

    • Once you have registered for the CogX Platform, to provide necessary information to you in connection with your attendance of events, sessions, networking sessions and other services on the CogX Platform.

    • To invite you to register to any new platforms or online services offered by us 

    • To invite you to register to any new Event organised by our partners, including partners exhibiting on the CogX Platform

    • To measure the audience on the website and to measure use of and interest in specific features and content

    • To measure the performance of our social media campaigns and mobile campaigns

    • To facilitate interactions between other users of the CogX Platform via communication channels within the CogX Platform and via other 3rd-party communication channels as may be appropriate

    • For those with tickets to the physical Event, to facilitate the set up of a 3rd party app to manage the physical event experience

     

    We will process your personal data in order to send you direct marketing messages regarding our products and services, unless you have opted out of receiving such messages from us.

  • If you are from the UK or the European Economic Area (EEA), our legal basis for collecting and using your personal data described in this Privacy Policy depends on the type of personal data we process and the purposes for which we process it.

     

    We may process your personal data because:

     

    • We need to perform a contract with you, for example where it is necessary to process your personal data in order to provide you with access to the CogX Platform

    • You have given us your consent to do so, if consent is required under applicable laws

    • The processing is in our legitimate interests and it is not overridden by your rights (i.e. where it is in our interests to process your personal data for the purposes of improving our future events)

     

    In order to comply with legal obligations to which we are subject

  • If you provide personal data to us through one of our forms, your personal data may be shared with sponsor partners, exhibitor partners, content partners, logistics partners and providers, who are permitted to use such data solely in connection with organising and conducting CogX’s activities including provision of the CogX Platform. We also provide your personal data to third party providers to the extent necessary to operate the CogX Platform, including third parties that provide communication platforms that facilitate contact between users of the Platform.

     

    Please note that when using such communication platforms other attendees may be able to view your name, job title and company, and can contact you as permitted via those platforms.

     

    In addition, Personal Data may be shared with Partners who are exhibitors at Events you have attended on the CogX Platform, for the purpose of follow-up interactions. 

     

    CogX Platform Networking Services: ​your name, company, job title, bio, and profile image may be shared with a Partner or another user of the CogX Platform with whom you interact via the CogX Platform networking services in the following ways:

     

    • by requesting or attending a meeting with the Partner or user

    • by explicitly indicating your interest in the Partner or user

    • by viewing the Partner’s products and exhibition assets

    • by adding sessions or side events that are co-curated or sponsored by the Partner to the “My Schedule” calendar feature

    • by attending or viewing sessions or side events that are co-curated or sponsored by the Partner. 

     

    Your contact details – ​Your personal data, including contact information such as e-mail addresses, phone numbers, job title and company name may be shared for direct marketing purposes with our Event Partners (“Partners”) provided you have not opted out of receiving these communications.

     

    Your contact details will only be shared in the following circumstances:

     

    • If you add a sponsored session to the “My Schedule” feature or attend a sponsored or co-curated or Partner hosted session

    • If you enter a Partner side event, co-curated event or in-booth session

    • If you request to “share my contact details” with a Partner

    • If you enter or view an expo booth

    • If you schedule a meeting, or connect over Live Chat with a Partner representative

    Other than the scenarios described above, we will not share your personal data with any other parties outside of CogX, except (i) in the event of a merger or sale of the company’s assets; (ii) as required by law or as required in the course of officially authorised law enforcement investigations, (iii) in order to protect our rights.

  • When you send us personal data via email, for example to ask a question or make a comment, or by filling out a form that emails us this information, we use it to respond to your requests. Personal data processed for these purposes will be retained as long as necessary to complete our response.

  • The personal data you have shared with us, and that enables us to contact you, will be kept until you communicate to us your intention to terminate your user account on the CogX Platform. Your data may be retained for a further 30 days following such communication or where such retention is required for us to fulfil our legal obligations. The data that you have shared will be stored in accordance with legal obligations. Analytics data collected for the purposes of audience measurement, retargeting, measurement of the performance, will be kept for up to 5 years following your use of the Platform.

  • The Website may contain links towards other sites that we do not control. We are not responsible for the data privacy and collection practices or the content of such sites. If these sites include terms of use, terms of service or any other privacy policy, you must read them carefully as your use of those sites will be subject to such policies.

  • In addition to the rights described in our Privacy Notice above, California law grants California residents certain rights as set forth below:

     

    Notice: You have a right to be provided with a notice at minimum of the categories of personal information collected and the purposes for which it is used at or before the points of collection.  

     

    Right to non-discrimination: The California Consumer Protection Act (“CCPA”), prohibits discrimination against California residents for exercising their rights under the CCPA, such as by denying or providing a different level or quality of goods or services, or charging different prices or imposing penalties on residents who exercise their CCPA rights, unless doing so is reasonably related to the value provided to the business by the residents’ data.

  • Requests to exercise your rights may be submitted by emailing us at privacy@cogx.live Please be prepared to provide your first and last name and email address that matches information we currently have on file. Where we are unable to verify your identity based upon this information alone, we may require additional details. We will respond to verifiable requests received from California consumers as required by law.

  • Under California’s Shine the Light law, California residents who provide us certain personal information are entitled to request and obtain from us, free of charge, information about the personal information (if any, and as defined under the law) that we have shared with third parties during the preceding calendar year for their own direct marketing purposes. Such requests may be made once per calendar year by emailing us at privacy@cogx.live In your request, you must include the statement “Shine the Light Request,” provide your first and last name, email address and residential address, and certify that you are a California resident. We reserve the right to require additional information to confirm your identity and California residency.

  • We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. We will let you know via email and/or a prominent notice on our Website, prior to the change becoming effective and update the “effective date” at the top of this Privacy Policy. You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.
